QUALITY & DOCUMENTATION

Quality with
commercial purpose.

Documentation, specifications, and quality support that help buyers make decisions, clear customs, and keep supply chains moving without unnecessary delays.

Approach

Quality starts before loading

For Sanddorf, quality is not a department — it is a commercial discipline embedded in every stage of trade execution. From product selection and supplier screening to packing format and document preparation, the goal is always the same: deliver what was agreed, with the files to prove it.

Before cargo is loaded, the specification is confirmed, the origin is understood, the documentation scope is aligned, and the packing format is matched to the buyer's requirements. Problems that surface at discharge are almost always problems that were missed before loading.

  • Specification alignment before shipment commitment.
  • Supplier screening based on product fit and track record.
  • Document scope agreed during the commercial stage, not after loading.
  • Packing and labelling matched to destination requirements.

Documentation

Documentation that helps cargo move

The right documents, prepared correctly and delivered on time, are often the difference between a smooth clearance and a costly delay. Sanddorf treats documentation as a core part of the trade — not an afterthought.

Product specifications define the commercial and technical parameters of the goods being traded. These include composition, appearance, physical form, particle size, moisture levels, and other attributes relevant to the buyer's application. Sanddorf works to align specifications with the buyer's requirements before the shipment is committed.
Certificates of analysis provide laboratory-verified data on the product's composition and quality parameters. COAs are typically issued by accredited or recognized laboratories and reflect the actual batch or lot being shipped. Sanddorf coordinates COA preparation as part of the pre-shipment process.
Origin documentation identifies the country and facility where the product was produced or processed. This may include plant registration numbers, export approvals, and other origin-specific information required by the destination country's import regulations. Sanddorf provides origin details as part of the standard documentation package.
Packing documentation covers the format, weight, labelling, and marking details of the shipment. This includes packing lists, container loading information, and any specific labelling requirements for the destination market. Proper packing data helps prevent handling issues and supports customs clearance.
Commercial documentation includes invoices, contracts, bills of lading, and other trade files that form the commercial backbone of the shipment. These documents are prepared to meet both the buyer's internal requirements and the regulatory expectations of the destination country.
Depending on the product and destination, shipments may require health certificates, veterinary certificates, phytosanitary certificates, or other regulatory documents. Sanddorf coordinates with origin-country authorities and inspection bodies to ensure the correct regulatory files are prepared and issued before shipment.

Traceability

Traceability, packing & handling

Buyers need confidence that the product they receive matches what was agreed. Sanddorf supports traceability by maintaining clear records of origin, processing, and shipment handling for every trade.

  • Lot and batch identification linked to origin and production records.
  • Packing formats selected to match buyer handling and storage needs.
  • Container loading supervised or documented where applicable.
  • Labelling and marking aligned with destination-market regulations.
  • Handling instructions communicated to logistics partners to protect product integrity.
Our Commitment

Only real claims. Only real documents.

Sanddorf does not overstate what can be provided. If a document is available, we will say so clearly. If it is not, we will explain why and what alternatives exist. Quality and documentation claims are only made when they can be backed by verifiable information, real laboratory data, and legitimate origin records. This approach protects both the buyer and the integrity of the trade.

Understand document scope early

Share your product and destination requirements and Sanddorf will outline the documentation scope, quality parameters, and packing options available for your trade.
